Service Type: Group Fundraiser

As part of my youth group, BBYO, I have taken on a role which is responsible for the finances and fundraising. In this post, I am reflecting on a fundraiser which I planned, organized, and and carried out. The funds raised contributed to supporting the youth group.

This was a very difficult undertaking, even though the needs for the fundraiser weren't excessively large. It connected primarily to two learning outcomes (LO2 and LO3): A challenge undertaken (Fundraising for the first time with no experience), and planning and initiating work (Developing and carrying out the fundraiser myself).

This fundraiser was in the form of a bake sale, which I have never done before. I've never planned a fundraiser in general. This project was done without much assistance from others, at least on the logistical side. The first thing I realized was that by conducting this fundraiser at a public venue, there was more involved than just setting up and selling. I had to contact the restaurant where we would be selling our items and get approval. Fortunately, this wasn't a difficult process, as the manager was very receptive. The largest difficulty was planning the costs and materials involved, in addition to estimating revenue and profit. I needed to make around ~$200, which I assumed would be relatively simple, but after calculating the costs for everything, I realized that it would be a greater challenge to scale the size of this project to that level. I had to dedicate a lot of time towards figuring out what people would be willing to pay, and how to maximize the materials. Additionally, making the baked goods took a considerable amount of time. I was committed to making the goods, along with the decorative signs, more than just adequate. Even though the time requirement was more extensive than initially thought, I continued.

My chapter and I conducted the fundraiser on October 15th, setting up around 9AM. My friends assisted with the selling and 'marketing' of our product once we set up. When carrying out this project, being cognizant of those around was important. Our cause was important, but we didn't want to be a nuisance to those dining at the restaurant. I made sure to keep track of everything sold, sticking to the spreadsheets I made during planning. In the end, we didn't sell all of our products, but we raised nearly as much was expected due to donation contributions rather than purchases.
